The five layers
Knowledge — one place information lives, so answering a question does not require knowing who to ask.
Requests and routing — work enters through a defined path rather than a direct message, which is the single change that makes the rest possible.
Decisions — what was decided, by whom, and what was rejected. The rejected options are the part everyone omits and the part that matters in six months.
Documentation standard — what a document has to contain to count as done, so quality does not depend on who wrote it.
Review cadence — when each layer gets looked at, because an operating system nobody revisits becomes archaeology.
What this will not tell you
- It is a structure, not a process. Adopting the databases without agreeing how work enters them changes nothing.
- It is not CRM or RevOps work — everything else in this section is HubSpot-specific and this is not.
